Equipment Register Procedure
All Access Arts policies relate to all Staff as well as Members.
Access Arts Inc. defines a Member as any person who has filled out a membership
form to join the organisation.
Staff are defined as persons engaged in Office, workshop/project or program,
Volunteer or Student placement work at Access Arts Inc.
Purpose:
To ensure that all Equipment available to be borrowed by Staff and Members is appropriately stored, that all Equipment can be accounted for at any point in time, that equipment is loaned with an appropriate understanding between borrowers and Access Arts of their respective responsibilities, and that the Equipment Register Procedure is clearly outlined.
- The Access Arts Equipment Register is located in S:\Bookings\2007 Equipment Register.
- All Access Arts Equipment that is available to be borrowed by Staff or Members must have an individual Booking Calendar in the Equipment Register Folder.
- As new equipment is purchased or retired, a new Booking Calendar should be created or removed as appropriate by a Membership Services Officer.
- Equipment bookings for non-staff members or Volunteers must be approved by a Staff Member, who will check the appropriate Booking Calendar for availability.
- All persons who wish to borrow equipment must give at lease 24 hours notice.
- Members and Volunteer's who borrow equipment must complete an Equipment Loan Contract, which is located in S:\Bookings\2007 Equipment Register\Equipment Loan Contracts.
- The Equipment Loan Contract must be signed by both the Executive Director (or their delegate) and the borrower prior to the equipment being borrowed, and the equipment must be checked for signs of damage and checked off against the list of borrowed equipment before it is borrowed and when it is returned by the Executive Director (or their delegate).
- The Equipment List portion of the Equipment Loan Contract should be completed in detail to give a list of any accessories that have also been borrowed.
- All Equipment that is available to be borrowed, with the exception of the Apple Macintosh Laptop which is under the volunteer desk in a locked briefcase, is located in the locked filing cabinet in the Executive Director's Office.
