Management Committee Policy

Aim:

To ensure that all Access Arts Inc. Management Committee members have the resources to effectively manage Access Arts Inc, and that Staff and Members understand the roles of this committee.

Policy:

  • All Management Committee members are to receive annual governance training, Management Committee induction kit and disability awareness training. They are also to be given professional development opportunities as needs dictate.
  • All Management Committee members must apply for a Disability Services Queensland criminal history screening after they have been appointed.
  • A Sexual Harassment Officer and Workplace Health and Safety Officer must be elected from the Management Committee each year. Members are encouraged to check with Staff to find out who holds each position.
  • Within one month after the Annual General Meeting, an induction meeting must be called to ensure all Management Committee members are inducted according to the Management Committee Procedure.
  • All Management Committee members must attend the induction meeting.
  • All re-elected members of the Management Committee must also attend the induction meeting in order to be kept up-to-date with Access Arts policies and procedures.

Management Committee Procedure

  1. The Executive Director or his/her delegate is to ensure that:
    • All Management Committee members receive a Disability Services Queensland criminal history screening form as soon as they have been appointed.
    • A meeting date is set for the induction meeting.
    • All members of the Management Committee are notified of the meeting time and date.
    • All relevant Access Arts Staff are informed if they are required to attend the induction meeting.
    • The induction meeting includes an overview of:
      1. The Management Committee
      2. Access Arts Inc. Constitution
      3. Staff Roles
      4. Policies and Procedures
      5. Financial matters

All Management Committee members are to receive an induction kit upon their appointment. This kit is to include:

  • Constitution
  • Annual report
  • Organisational chart
  • Business Plan
  • Glossary of terms and acronym
  • List of meeting dates for the year
  • List of Important Policies for Staff
  • Management Committee contact list
  • Access Arts information pack
  • Management Committee Roles and Responsibilities
  • DSQ Criminal History Check and Blue Card forms

New Management Committee members will also be directed to the following documents in the Quality Assurance Manual which must be read upon their induction:

  • Staff Roles
  • Mental Health Action Plan
  • Membership Policy
  • Internal Audit Plan
  • Critical Incident Procedure
  • Staff Employment Policy
  • Staff Professional Development Policy
  • Advocacy Policy
  • Duty of Care and Risk Management Policy
  • Grievance Policy
  • Mental Health Policy
  • Privacy/Confidentiality/Freedom of Information Policy
  • Process for Workshop/Program Ideas

Access Arts Inc. Management Committee Positions & Roles and Responsibilities

Position Roles/Responsibilities
President Chair meetings
Signatory on financial accounts
Act as a spokesperson for the organisation
Support the Director and staff in brokering strategic partnerships and leading the development of strategic directions
Mediate grievances which have not been successfully resolved as per the Grievance process outlined in the Grievance Policy
Holds a casting vote in cases where votes are tied
Attend monthly Management Committee meetings
Attend and assist at Access Arts events where possible
Vice-President Chair meeting when President is absent
May be signatory on financial accounts
Act as a spokesperson for the organisation
Work with the Committee and the Executive Director to develop and support the strategic direction of the organisation
Attend monthly Management Committee meetings
Attend and assist at Access Arts events where possible
Treasurer Provide monthly reports on the financial status of the organisation
Signatory on financial accounts
Meet quarterly with the Executive Director and Finance Officer to discuss any financial issues which might have arisen
Work with the Committee and the Executive Director to develop and support the strategic direction of the organisation
Attend monthly Management Committee meetings
Attend and assist at Access Arts events where possible
Secretary Take minutes of monthly Management Committee meetings
Prepare correspondence on behalf of the Committee as agreed
Provide other secretarial support to the Committee as required
May be a signatory on financial accounts
Work with the Committee and the Executive Director to develop and support the strategic direction of the organisation
Attend monthly Management Committee meetings
Attend and assist at Access Arts events where possible
Ordinary Members Work with the Committee and the Executive Director to develop and support the strategic direction of the organisation
Attend monthly Management Committee meetings
Attend and assist at Access Arts events where possible

Complies with Queensland Disability Service Standards: 3,6,8,10
