Process for Workshops & Project Ideas

Purpose:

Often people come into the office and talk to the Executive Director or other staff about possible projects. It is very tempting to get caught up in the excitement of the idea and the enthusiasm of the person and to just say “yes”. Unfortunately we don’t have the capacity to say “yes” to everything, nor do we have the active membership to sustain every project idea. So this process will hopefully ensure that all of us get a real say in which projects we contribute our time and energy to. Also, in recent times there have been a number of instances where we have agreed to “support” a project which is independent of us but which aligns with our philosophy and goals. It is essential that we follow this process and that these arrangements are formalized so that staff time is not wasted because the guidelines as to what support we should and shouldn’t offer are unclear.

 

Process:

  • Discuss the proposed project with the person. Ensure that they understand Access Arts’ philosophy and the nature of the support we can offer.
  • Invite them to submit a written proposal to the Assistant Director on the attached template. Offer to assist them to prepare it.
  • As Access Arts is a membership driven organisation it is important to include our members in decision-making processes when deciding on the workshops Access Arts will support. The next step in the process is then to ask our membership base if they would be interested in participating in the project. Member’s views will then be taken into account in conjunction with staff member’s opinions and experiences. Staff may use a number of methods in order to determine members’ interest. These may include: doing a quick phone around of members who might be interested or have done a similar workshop before, holding focus groups, putting project information in the newsletter asking for an expression of interest, asking our members advisory etc.
  • The proposals will be discussed at staff meetings to determine whether we have the capacity to support the project and whether there would be sufficient interest from the membership.
  • If there is agreement that the project should go ahead, the Assistant Director will work with the member to develop a simple agreement outlining what support Access Arts can provide.
  • Support provided will depend on the nature of the project and the individual needs of the facilitator.
  • If confusion arises as to whether the support we are being asked to provide is appropriate, staff should speak to the Assistant Director.
  • If the agreement is being breached and the issues are irresolvable the project will be stopped.
